LeadSifter is a product of LTC Software Solutions, based in Onalaska, Wisconsin ("we", "us"). This policy covers the leadsifter.ai website and the LeadSifter service, including the Daily Lead Report email.
The short version
- We collect what you type into our forms, what you tell us when you become a customer, and basic data about how people use the website.
- We use it to answer you, build and send your reports, run the business, and improve the site.
- We don't sell your information. We don't share your product list with other customers.
- Ask us and we will show you, correct, or delete what we hold about you.
What we collect
When you fill in a form
The forms on the request page and the coverage page ask for your name, company, work email and phone number. Depending on the form, they also ask what you sell, which states you want covered, and anything else you want us to know.
When you're a customer
To build your report we keep what you tell us during onboarding: your company name, what you sell in your own words, the keyword list we build from it, the states you monitor, and the names and email addresses of the people who get the report. We also keep the emails and messages you send us.
When you use the website
- HubSpot analytics. Our website loads HubSpot's tracking code. It sets cookies that record which pages you visit, how you got to the site, and, if you fill in a form, which contact record that visit belongs to. See Cookies.
- Cloudflare Web Analytics. Cloudflare counts page views and load times for us. It does not set cookies and does not build a profile of you.
- Server logs. Cloudflare hosts the site and processes your IP address, browser type and the pages you request to deliver the site and protect it from abuse.
Public letting documents
LeadSifter reads letting documents that state DOTs publish. These are public records. They can include names and contact details of DOT staff and contractors, which we process only as part of the documents.
How we use it
- To answer your request: send a sample report, book a demo, or tell you when we add a state.
- To build and send your Daily Lead Report and support you as a customer.
- To contact you about LeadSifter. You can tell us to stop at any time.
- To understand how the website is used and make it better.
- To keep the site and service secure, and to meet legal obligations.
Who we share it with
We don't sell your personal information, and we don't share it for other companies' advertising. Other customers never see your profile, your keywords or your leads.
We share information only with:
- Service providers that run parts of LeadSifter for us, under contracts that limit what they can do with it:
- HubSpot, for our contact records, forms, email and website analytics.
- Cloudflare, for hosting and website analytics.
- The AI model provider we use to read letting documents and match them to your product profile.
- Our email delivery provider, to send the Daily Lead Report.
- Authorities, when the law requires it, or to protect our rights or someone's safety.
- A buyer or successor, if LTC Software Solutions or LeadSifter is sold or merged. This policy would still apply to your information.
Cookies
Cookies are small files a website stores in your browser. LeadSifter's website uses HubSpot cookies for analytics:
| Cookie | What it does | Kept for |
|---|---|---|

hubspotutk |
Identifies your browser so a form submission joins your contact record | 6 months |

__hssrc |

Where a cookie banner is shown, you can decline analytics cookies there. You can also block or delete cookies in your browser settings. The site works without them.
HubSpot's code can also load chat and advertising tools if we turn them on. If we start using advertising pixels, we will update this section first.
How long we keep it
- Form submissions: while we're in contact with you about LeadSifter, and deleted on request.
- Customer data: for as long as you're a customer. After you cancel, we delete your product profile and report recipients within 90 days unless you ask us to keep them.
- Records we must keep, such as invoices, for as long as the law requires.
Your choices and rights
You can ask us to:
- Tell you what personal information we hold about you, and give you a copy.
- Correct it.
- Delete it.
- Stop sending you marketing email. Every marketing email also has an unsubscribe link.
Customers can also change who gets the report, or change the product profile, at any time.
To ask, use the contact form or reply to any Daily Lead Report. A person will handle it. We may need to confirm who you are first. We answer within 45 days and won't treat you differently for asking.
Some states, including Iowa and Minnesota, give residents privacy rights by law. We honor the requests above for everyone, wherever you live.
Security
The site and the service run over encrypted connections. Only the people at LTC Software Solutions who build and support LeadSifter can see customer data, and our service providers are bound to protect it. No system is perfectly secure, but if a breach affects your information, we will tell you as the law requires.
Where your information is stored
LeadSifter is run from the United States, and your information is stored and processed in the United States.
